How to Copy a Grid for Future Use
Version 4.0 of the ICM-CAG launched in January 2019 allows CAG users to make a copy of a completed grid for use in subsequent assessments for the same patient/client. The 2019 version will translate previous content versions into the new grid release (2018 Gold Standard Adult Grid) making any action/goal textual edits, adding or subtracting goals/actions so that the copied grid is compatible with the new content version. This copy-feature allows a case manager to lock an assessment and make it read only so that it can be a historical record rather than, as many had done, keeping the assessment grid 'open' for edit forever to avoid starting from scratch on a blank grid.
- Look on the new Grid History table in the left column to see grids that are available for copy. The left column will have a clickable word 'Copy'.
- If the left column still says 'Edit' then the grid has not been saved with the 'Completed/Locked' checkbox clicked, click Edit and open it, make sure it is scored in all cells, and go down to the left-hand corner checkbox and check it 'Completed/Locked'
- To save a grid as 'Completed/Locked' all the cells must have risk values (anchor points) selected. if you try to save a grid that still has cells that have not been scored, it will not let you.
- When it is time for a follow up assessment for the same patient/client go to the last saved grid for that patient/client on the Grid History and click the 'Copy' hot spot in the left column. This will create a copy of the older grid and open it inserting the current date as the assessment date.
- Once the grid is open you can edit the information in that new copy of the older grid adding a new assessment reason, changing the assessment date if you wish, adding or editing notes in any cell, actions or goals, and changing any risk score/anchor points in the cells.
- When a grid has been copied the new copy will have a value in the Grid History 'Copy Date' column with the date the copy was made. All grids with values in the Copy Date column were copies of previous grids.
- When you have copied a completed grid that older grid remains with the word 'Copy' in the left column.
- The system will not stop you from editing other data fields in the copied grid such as Patient ID, Patient Name, Birthdate, and Gender so be careful not to accidently copy one person's grid and put another person's name on it as the scores, actions, goals, and notes will not be accurate.
